Channel XF Project Coordinator
The Channel team within Worldwide Marketing Communications group is responsible for developing go-to-market strategies that deliver against both marketing strategies and channel commercial objectives. The team leads the upfront strategy and alignment and provides on-going cross-functional oversight and coordination of marketing efforts in Channel.
Description
The Channel XF Project Coordinator supports the team lead in orchestrating how the team operates, ensuring seamless collaboration and execution across all Channel initiatives. This role manages team operations including meeting facilitation, planning documentation, workload tracking, and identifying opportunities to improve cross-functional workflows. The Project Coordinator serves as the operational backbone of the team, enabling Individual Contributors to focus on strategic deliverables while maintaining alignment and momentum across global in-store initiatives.
Responsibilities:
- Own quarterly planning processes, maintain comprehensive planning documentation, and track team workload to ensure balanced resource allocation and on-time delivery of all Channel initiatives.
- Design and implement a new team operating system to provide real-time visibility into project status, workload, and dependencies.
- Coordinate and prepare agendas for critical team meetings, cross-functional syncs, and stakeholder updates; capture action items, decisions, and follow-ups to drive accountability
- Identify and implement new ways for the team to collaborate more effectively with Marcom teams, product marketing, sales, and geo partners; streamline processes and communication workflows.
- Maintain status documents, Plan of Records, deliverable trackers, and team dashboards to provide real-time visibility into project progress, dependencies, and potential roadblocks
- Develop and manage asynchronous communication systems (status documents, team dashboards) to ensure information flows seamlessly to all stakeholders, even those not present in meetings.
- Hours may fluctuate based on project needs.
Minimum Qualifications:
- 4+ years of experience in project coordination, program management, or operations roles supporting cross-functional teams
- Proven ability to manage multiple projects simultaneously with strong organizational skills and attention to detail
- Experience creating and maintaining project documentation, trackers, and status reports
- Excellent communication skills, attention to detail with with proven effectiveness working under pressure
- Proficient keynote skills, enabling executive summaries of important information
Preferred Qualifications:
- Experience working in marketing, creative, or retail channel environments
- Background supporting global teams across multiple time zones and geographies
- Strong problem-solving skills with ability to proactively identify process improvements
- Experience with resource planning and workload management across teams
- Ability to synthesize complex information and present it clearly to various audiences
- Proven ability to collaborate, build rapport, credibility, and influence across multiple teams and stakeholders to get results
- Bachelor's degree or equivalent professional experience
