Job Summary
The Video Asset Specialist is responsible for the organization, tracking, and management of video assets across production workflows. This role ensures that all digital content is accurately ingested, cataloged, and delivered in accordance with operational and quality standards. The specialist supports multiple teams by maintaining efficient asset flow, adhering to established metadata and archival processes, and collaborating with cross-functional partners to uphold production timelines.

- 3-5 years of experience in a producer or coordinator role at an agency, commercial production company, or in-house creative/marketing department.
- Excellent multi-tasking skills with the ability to manage and organize high volumes of information.
- Strong project coordination and scheduling experience.
- Skilled in liaising with managers, technicians, and producers.
- Proficient in Numbers, Pages (or Word, Excel), Slack, Quip, or similar productivity tools.
- Fast learner with the ability to quickly absorb terminology, processes, and workflows.
- Ability to work creatively, collaboratively, and effectively as a team member or independently. Excellent interpersonal, oral, written, collaboration, and presentation skills for communicating with various production roles.
- Strong database skills and knowledge.
- Understand Apple Airtags and FindMy tools. Experience working within security guidelines and protocols.
- Ability to troubleshoot under pressure during production shoots or in-house. Knowledge of video and photo production.
- Must work at least 8 hours a day, 5 days a week from the main office.
Description
Support production and post-production teams in asset management, including locating, retrieving, and distributing assets. Monitor asset statuses, communicate progress, and assist with production preparation and maintenance.
- Organize inventory, equipment budgets, and licenses. Prepare, encrypt, and ship hard drives domestically and internationally. Deliver shipments to FedEx drop-off locations. Submit Secure Ship forms and maintain communication for international deliveries.
- Coordinate with producers for international drive acquisition, receipt, and return. Follow up with producers for post-house returns.
- Implement strict Apple security protocols for hard drive shipping, field use, and transportation. Recommend and implement changes to improve hard drive check-in/out systems and equipment check-in/out systems.
- Develop and maintain a robust tracking system for hard drive movement from Apple offices to production and post houses. Ensure operational completeness, accuracy, and timeliness, with flexibility to adjust priorities based on new information.
- Keep onset equipment updated to the latest OS and software. Manage software license inventory and annual upgrades. Submit IT tickets for software installation on SAN systems. Offload video files to hard drives and servers.
Essential Requirements
- Must have a valid drivers license
- Must have access to reliable transport in the Bay Area to be able to respond to varied and changing production needs.
Education & Experience
- 3-5 years working in a production role
- Apple expert or Genius experience a plus
- Ability to lift up to 45 pounds, to load and unload equipment needed for production.
- Excellent MacOS skills required. Document formatting and copywriting/proofing is a plus.
